Privacy Policy

How the Foundation collects, uses, and protects information shared through this website.

Who we are

Climax-Scotts Community Schools Foundation is an independent 501(c)(3) non-profit organization. This policy covers information collected through this website. It does not cover the websites or practices of Climax-Scotts Community Schools, which is a separate organization.

Information we collect

We collect information only when you choose to give it to us:

  • Contact form: your name, email address, and the message you send.
  • Scholarship application: the applicant’s name, contact information, school and academic information, essays, references, and any parent or guardian information requested on the form.
  • Donations: payments are processed by PayPal. We receive the donor’s name, email address, gift amount, and any note entered at checkout. We never see or store card or bank numbers.
  • Website logs: our hosting provider records standard technical data such as IP address, browser type, and pages visited, used for security and to keep the site running.

How we use it

  • To respond to your message or request.
  • To review scholarship applications, notify applicants, and administer awards.
  • To process and acknowledge donations, including the written acknowledgment the IRS requires for your tax records.
  • To publish scholarship recipient names, schools, and photos, only with the recipient’s consent (and a parent or guardian’s consent for applicants under 18).
  • To maintain required financial and corporate records.

Who we share it with

We do not sell, rent, or trade personal information. We share it only:

  • With service providers that run parts of this site on our behalf: JotForm (forms), PayPal (payments), and Vercel (hosting). Each processes data under its own privacy policy.
  • With scholarship selection committee members and the institution receiving an award, as needed to administer the scholarship.
  • When required by law, subpoena, or to protect the rights and safety of the Foundation or others.

Cookies and tracking

This site does not set its own advertising or analytics cookies. Embedded services from PayPal and JotForm may set cookies needed for their forms and checkout to work. Links to Facebook take you to a third-party site governed by its own policies.

Children and students

Scholarship applicants are typically high school seniors, some of whom are under 18. Applicants under 18 should complete the application with a parent or guardian’s knowledge and consent. We do not knowingly collect information from children under 13. If you believe a child under 13 has submitted information, email us and we will delete it.

How long we keep it

Contact messages are kept as long as needed to respond. Scholarship applications are kept for the award cycle and as long as needed to administer multi-year awards and meet record-keeping obligations. Donation records are kept as required by IRS and Michigan law, generally seven years.

Your choices

You may ask to see, correct, or delete the personal information we hold about you by emailing info@cscsf.org. We will honor requests unless the law requires us to keep the record, such as a donation receipt.

Security

This site is served over HTTPS. Payment data is handled entirely by PayPal. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
